Fix – You Can’t Make This Change Because the Selection Is Locked

The error message, “You can’t make this change because this selection is locked,” at the bottom left of the MS Word screen is frustrating. It prevents you from making changes to the document you have on hand. This can be a resume, contract, form template or any other document. The dead cursor sitting in the text doesn’t let you do anything.

If you think this is some sort of a bug or the Word file is broken then that’s not what it is. When you get this message it means either the version of MS Office you are using is inactive, or the file is opened in protection, or you are trying to edit a locked content from a form template or editing is restricted, or you only have view-only access or the formatting data is damaged in the file. It can be any of these reasons. This is why it is necessary you understand the cause and apply the right fix to save time and get things working.

Quick Diagnosis – Why Word locks the selection

Error message you get Probable cause What to do
Editing or typing in any document is restricted. Either the license has expired or you are using the free version of MS Office. Click File → Account and check the activation status. If you’re not signed in with a Microsoft account, sign in or renew your Microsoft 365 subscription.
You get a colored banner at the top under the ribbon saying the document is marked Final or Read-Only. The document is marked as Final or opened in Protected View, usually because it came from email or the web. Click Edit Anyway. To disable it permanently, go to File → Info → Protect Document → Mark as Final and turn it off.
You can edit the document but certain boxes, tables, or form fields are locked. The content control has “Contents cannot be edited” enabled. Go to the Developer tab → Properties and uncheck Contents cannot be edited.

Use Design Mode to modify or remove the control.

There is no error message or banner, but you still cannot edit the document. Restricted Editing is enabled. Go to Review → Restrict Editing → Stop Protection (enter the password if required).

You can also check File → Info → Protect Document.

File in use, locked for editing. The file is shared or someone else is editing it, or you only have view-only permission. Open the Share panel and manage permissions.
Word says it “experienced an error trying to open the file.” The file is damaged or you don’t have permission to access it. Try repairing the document by selecting File → Open → Open and Repair, or obtain a fresh copy of the file.

How to fix “selection is locked” in Word

To fix the selection lock and edit the document follow these fixes in the given order:

1. Check MS Office activation

When you cannot edit a document and you see “Most features of Word have been disabled” or you get an activation pop-up it means either the trial has expired or you are using an unlicensed version in which you cannot edit the document.

To confirm if that is the case Go to File > Account, and check the status under Product Information.

If it says unlicensed or the subscription expired, sign in with the Microsoft account linked to your license, or renew the subscription, and restart Word. This should help.

Tip : If you have two versions of MS Word like 2016 and Microsoft 365 running on your system out of the former it unregistered Word may read the unlicensed copy's restrictions. Therefore, uninstall the free version to avoid any confusion.

2. Turn off Restrict Editing

Another reason why you cannot make any changes in the document is because the document is password protected with editing restricted.

To fix it click the Review tab > click Restrict Editing > and click Stop Protection at the bottom. If only editing is restricted this will get the job done. However, if the document is protected  you need to enter it now.

In case you do not have a password, you will need to contact the document owner, as this is a permissions issue. Alternatively, you can request an unrestricted copy from the owner. Additionally, in cases where a document is divided into multiple sections that you can view through section break. If different protection settings are applied per section you need to go to the Restrict Editing pane, under Exceptions, and adjust each section individually.

3. Document is marked as Mark as Final apart from Protected View

Mark as Final and Protected View might look similar but don’t work in the same way.

A document marked as Final shows a colored bar with Edit Anyway.

Protected View applies to files that arrive from email or the internet regardless of Mark as Final status, and shows a yellow bar with Enable Editing

4. Unlock content control

If you can edit the document leaving some fields it is because of content control. To disable it click the Developer tab. If you cannot see it go to File > Options > Customize Ribbon, check the Developer box, click OK.

Now you can see it. Click the per-field Properties and uncheck the option. To restructure design, resize, or remove control go to Design Mode.

In addition to this ungroup grouped content controls click Developer tab > select the grouped section, click Group, and choose Ungroup.

5. Check if Domeone is Working on the Same Document

If the file you are working on is saved on SharePoint or OneDrive and shared for co-authoring, the paragraph can or table can be locked if two people at the same time are working on it. This is different from “File in Use.”

To fix it click Share in the top right to see who has the access and what level. To edit the doc ask the other person to save their changes or make a separate copy of the file and make changes.

6. Repair the File if it Won’t Open

If you get the message “experienced an error trying to open the file,” or only one specific document keeps showing “selection is locked” probably the file’s internal formatting data may be corrupt. To fix it, save a copy, and then try to open and repair it. File > Open, select the file, choose Open and Repair from the dropdown next to the Open button.

This usually fixes the problem if this doesn’t confirm you have read permission on the file and its folder before assuming corruption.

Common Mistakes to Avoid

Never use Design Mode as the first rescue point. It won’t fix can’t make this change when it is the result of password protection, editing restriction or someone else working on the document. Design Mode can only resolve content control locks.

Secondly, never assume a locked document is corrupt. Check for the cause, rule out chances of product not activated, document marked as final, restrict editing. Once none of these reasons prevent you from editing then run repair software.

Tip – When Nothing Works

If you are using MS Office given by your company chances are that document protection through a template controlled by IT or a legal team, with the password are applied. In this case ask the document owner or system admin to share unprotected copy or grant you the missing permission.

Frequently Asked Questions

Why does Word say the selection is locked even though I created the document myself?

This happens when you use company owned MS Word and create the document from a company or template file with Restrict Editing or content controls applied.

Does turning off Track Changes fix a locked selection?

Yes only when Track Changes only allows edits to be tracked and not accepted, disabling it helps unlock editing. However, if the document has separate Restrict Editing protection, turning off Track Changes won’t help unless you have stopped protection.

Is it safe to use Design Mode on a document I didn't create?

Yes, for general viewing and light edits, but if you delete or restructure a field while in Design mode, the form may stop working correctly for the next person who opens it.

What's the difference between selection is locked and a File in Use error?

Selection is locked means the file opened fine but a protection setting is blocking edits to some or all of it. File in Use means, possibly someone is working on the same file.

The bottom line

“Selection is locked” isn’t a single error that can be fixed by applying a common troubleshooting step. It is the way Word tells that the document you want to work on is protected, in use by someone, or you are not using a registered version of MS Office.  To fix it, always do a quick check starting by checking product activation, followed by Restrict Editing, and Mark as Final. Once you know the actual cause, fixing it becomes easy.
